Create Event & Set Up Details

  1. Click Calendar.
  2. Click the New event dropdown and select Webinar.
  3. Seleccione as opcións aplicables.
  4. Add the title, date, time, and description.
  5. Co-organisers receive an email with the Teams meeting invite. Presenters can be included in the Green Room.
  6. Event access needs to be public for people outside of Shared Health to register.
  7. Enable attendee emails and manually send the webinar link to invitees.
  8. Allow mic & camera for attendees.
  9. Fai clic en Gardar.

Meeting Options Setup

  1. Click Meeting options.
  2. Select necessary options, like who can be admitted from the lobby, and enable the Green room.
  3. Turn on the attendee’s mic and camera during the session if needed.
  4. Set meeting chat to In-meeting only.
  5. Click Apply and then Save.

Setup – Presenter Bios
If you want to include presenter information in the registration link, click Presenter bios and enter applicable information. Click Save.

Registration – Configuration & Attendee Status
Click Add field to select applicable fields for attendee registration. You can make fields required.

Do not connect your device (workstation, cellphone or iPad) to BellMTS Guest Wifi while at the hospital (other than at these locations: CCMB, MacCharles or 700 Elgin); it will break your connection to MS Teams, Connection Dialer (Virtual Visit Provider Portal) and TigerConnect.

Setup – Presenter bios

  1. If you would like to include presenter information in the registration link that is sent to attendees, click Presenter bios and enter applicable information. Click Save.Microsoft-Webinars-Platform-for-Virtual-Events-FIG- (7)

Registration – Configuration & Attendee status

  1. Click Add field and select applicable fields if you would like attendees to enter the information when they register. You can make the fields required to ensure you collect the information you need.
    Legal term defaults to required with the default text “I have read and agree to Shared Health MB’s Terms and Conditions.” However, you can insert any external URL you choose, and that is what the attendees will see when they register; for instance, you may want to link to some information you would like them to read before attending the session.Microsoft-Webinars-Platform-for-Virtual-Events-FIG- (8)
  2. Click Save before proceeding to the Attendee status section. The
  3. Attendee status section will show as No registrants yet until people register.
  4. The emails section will show emails once you have registrants; you can preview email addresses, but you cannot change them.

View draft & publish site

  1. Fai clic View draft (you may have to sign in to Teams).
  2. Review the information; this is the view that the attendees will see when they register. Click Publish in the top right corner and then Publish on the pop-up message.Microsoft-Webinars-Platform-for-Virtual-Events-FIG- (10)
  3. This is now a live event, and you can manually email the attendees and include the link. They will see the email address you send it from, for instance, a shared mailbox.
    If you make any changes to the webinar date and/or time after people have registered, they will receive an email with the changes.Microsoft-Webinars-Platform-for-Virtual-Events-FIG- (11)Attendee information
    • When attendees click the register button, they will see what you saw when you viewed your draft
    • Will fill out all the information, including any additional fields you added. They will need to read and accept the Microsoft Terms
    • you added to the Legal Terms additional field; it will be required, and they will need to read and accept them before registering. They will receive an automatic email confirmation which includes the meeting link a,s soon as they register. They will see the person’s name who created the webinar, but will not see the email address (the name cannot be edited)

Time to meet

The organizer and co-organizer will join the same way they join any other Teams meeting.

If you need to verify a person’s identity at the beginning of the webinar, you can use Breakout Rooms. The room can be used once the webinar has started; you cannot assign an organizer or co-organizer to the room, but can hop in and out of the room as needed.

Green room – this is what it looks like when there are people in the lobby, and you haven’t admitted anyone into the meeting. The counter will show zero.

Green room – once everyone is admitted into the meeting, but the webinar has not yet started, the counter will show the number of attendees.

Ending the event

  1. Click End event once you’re done, and you’ll go back to the Green room. (Note: you cannot restart the event once you click End event.)Microsoft-Webinars-Platform-for-Virtual-Events-FIG- (17)

  3. Select Reports from the sidebar menu to run .csv reports, for example, how many people registered or attended.

Cancel even before

  • You publish, no event has been created yet, but all information you have entered and saved will be deleted.
  • After you publish, the event is cancelled, and all registrants will receive an email advising them of the cancellation. Anyone who already has the registration link but hasn’t registered yet will get a message that the event is cancelled when they click on the link.

Co-organizers cannot change the date and meeting options but can start and end the meeting.
